ENGAGEMENT POLICY

Active engagement in class is central to the study abroad experience at CEA CAPA, and of paramount importance to our sending institutions. Engagement can be demonstrated by students with a range of diverse learning styles, reflecting their contribution to all course components including: field trips and site visits, guest lectures, LMS-based discussion threads, and homework, projects, or other assignments listed in the syllabus. Active engagement promotes and supports high-impact learning, creates a vibrant intellectual exchange within the student cohort, and shows respect for the faculty member and other students who show up to teach and learn. As one aspect of engagement, and in compliance with accreditation and visa requirements, faculty record student attendance and take this into account when evaluating student engagement and overall course performance. Late arrivals or early departures from class are reflected in the student's participation score within the broader engagement rubric. Additionally, as stated in course syllabi, assignments that are late, missing, or do not reflect mastery of course material will be graded accordingly.As part of our commitment to student success, CEA CAPA staff will reach out to students who demonstrate a lack of academic engagement. CEA CAPA may warn, place on probation, or dismiss any student who fails to maintain satisfactory academic progress or full-time student status.

Add/Drop​

Absences during add/drop period do not count against students’ engagement grade, but may impact their performance in the course. If a student misses a class during the add/drop period, CEA CAPA staff will reach out to confirm that the student intends to maintain enrollment.

 

Students of Concern

A pattern of academic non-engagement may signal reasons for concern for a student’s overall well-being. Onsite academic staff use the below benchmarks to determine when a participant becomes a student of concern:

 

Initial Outreach: staff check in to confirm wellbeing, reiterate policy, and ensure student understands consequences for additional absences.

  • After missing 1 week of classes

  • After a faculty member flags concern about lack of engagement in class

 

Second Contact: staff require student to schedule a meeting, and may entail notification of the home institution.

  • After missing 2 weeks of classes, and/or a faculty member flagging concern a second time

  • Courses that meet once a week: absence 2

  • Courses that meet twice a week: absence 4

  • Courses that meet three times a week: absence 6

  • Courses that meet 4 times a week: absence 8

 

Academic Probation: requires the student to schedule a meeting, automatic notification of home institution:

  • After missing 3 weeks of classes, and/or a faculty member flagging ongoing concern

  • Courses that meet once a week: absence 3

  • Courses that meet twice a week: absence 6

  • Courses that meet three times a week: absence 9

  • Courses that meet four times a week: absence 12

  • Any additional absences or demonstrated lack of engagement while on academic probation may trigger dismissal from the course and/or the program.

 

Engagement Grade

All CEA CAPA syllabi weight engagement at 20% of the final grade, reflecting its importance to high-impact learning.

  • The 20% may be further broken down according to faculty discretion and course content or discipline.

  • An engagement rubric is provided to ensure transparent and consistent grading.

  • Engagement is measured twice per semester, at the middle and end.

IMPORTANT ​​

 

Attendance is one aspect of your engagement in our program. This means that, within certain limits, you can miss classes with no repercussions as long as you communicate with your professors, and you make sure you do all you can to catch up with the content you have missed. HOWEVER, if your absence happens to be on the day of a quiz or exam, you must provide a doctor's note to justify the absence to the Academic team and your professor. In other aspects, we have a holistic approach to attendance and absences are factored overall in your engagement grade for which you have to:

  • be an active participant in class

  • engage with the content/faculty/your peers

  • be on time for the lessons and do not leave early

  • be on time with your assignment

  • be respectful to your professors and peers etc (the rubric is in Canvas in the Paris Program Hub)

Students will be always marked absent when they are not in class because we need that for our records.

 

Monitoring Academic Progress​

  • Probation​​ from the Director of Academic Affairs - After missing four WEEKS of classes
